Navigating with the Database Explorer

The NewViews Database Explorer is a navigation tool that allows you to go anywhere in a set of books in an instant. It is a tree explorer similar in appearance and operation to the Microsoft Windows Explorer you use to examine and manipulate the folders and files on your computer.

In the Database Explorer, an entire set of books is represented by a tree with branches (folders) that can be collapsed and expanded to hide and reveal sub-branches (sub-folders).

When the Database Explorer is completely collapsed, the only item displayed is the name of the database.

Note: If the name of your company is not displayed here, set (or change) the Company Name field in Company Address Information

When you expand the "root" folder in the Database Explorer, two more folders are displayed: NewViews and System.

Expanding the NewViews folder displays the main categories into which your accounting data is organized: Account, Journal, Payroll and Report.

Expanding the System folder displays the main categories that are used for security and auditing purposes: Audit, Session and User.

Go Anywhere in the Books with a Few Mouse Clicks

Like most tree explorers, the Database Explorer is split into two panes. The collapsible collection of folders is displayed in the left pane, and the active (currently selected) folder's contents are displayed in the right pane.

You do not have to look at all the folders and sub-folders in a set of books at all times. For example, if you want to view a table of your Accounts Payable (vendor) accounts, all you have to do is expand the Account folder and activate Accounts Payable.

If you want to add a deposit to the bank deposit journal, expand the Journal folder, expand the Bank folder, expand the Deposit folder and click on the Bank Deposits journal.

Often in this manual you will see the path to a folder represented as NewViews/Journal/Bank/Deposit/Bank Deposits.

If you want to view your Income Statement, expand the Report folder and click on the Income Statement (the path is NewViews/Report/Financial Statements/Income Statement).

Using Multiple Database Explorers

The command Window>New Database Explorer creates a new database explorer, which enables you to work in multiple places in the books at the same time. There is no limit to the number of database explorers that you can have.

Editing Database Explorer Names

After you have created a New Database Explorer you can name the explorer whatever you wish in a few quick and easy steps.

  1. On the explorer you wish to rename, right-click on the Database Explorer menu bar to activate the context menu.

  2. Select Window>Edit Title from the menu.

  3. A pop-up box will appear for you to enter the name you wish to call this database explorer.

  4. Press <Enter> and the title of the explorer will now be changed.
