Sales orders are added to the {Sales Orders} journal in the same way sales invoices are added to the {Sales Invoices} journal. A sales order is easily converted to a sales invoice by moving it from the {Sales Orders} journal to the {Sales Invoices} journal.
To add a sales order to the Sales Orders journal:
Click the Sales Orders journal (NewViews/Journal/Sales/Sales Orders) in the NV2 Database Explorer.
In the Transaction Explorer window, press <Alt+E+A> or issue the command Edit>Append to add a new sales order. (NOTE: If the right window is not the Transactions Explorer window, click the window list button at the left of the title bar that reads /JOURNAL/SALES/SO and choose Transactions Explorer).
Enter the sales order date (press <F3> to select), comment (usually Sales Order) and reference, in the Date, Comment and Ref# fields, respectively.
In the Customer field, enter the account name for the customer (type the account name or press <F3> to select). The customer account description is filled in automatically. Do not enter anything in the Net, taxes or Total fields, since they are generated automatically.
Activate the transaction detail table by pressing <F6>.
Press <Alt+E+A> to add a sales order item. Enter the account name for the item (type the account name or press <F3> to select) and the item description. If you are tracking quantities for the item, fill in the quantity and rate (if it does not appear automatically) and the net amount will be calculated automatically. If you are not tracking quantities, fill in the net amount for the item. Taxes are calculated automatically, as is the item total amount.
The Additional Info tab on the individual invoice(s) and order(s) can be used for additional information. These fields can be used to print additional information on the sales order. e.g.: Attention, Shipped via, Custom Sales Terms, Messages, Notes, etc.
Press <F4> to return to the Transactions Explorer window.
Repeat steps 2 - 7 for each sales order.
To convert a sales order to a sales invoice:
Click NewViews/Journal/Sales/Sales Orders in the NV2 Database Explorer.
Activate the sales order to be converted to a sales invoice.
Activate the Journal field. Press <F3> to change the journal name from SO (Sales Orders journal) to SI (Sales Invoices journal) (press <Enter> or double click to select). The transaction will automatically be moved from the Sales Orders journal to the Sales Invoices journal.
NOTE: Sales Orders will not impact financial statements, as Sales Orders are non-financial, until they are moved to the sales invoices journal.
