Printing Tables

Any NewViews table (a window with rows and columns) can be printed in its entirety, or you can print a specific block.

To print an entire table:

  1. Activate any field on the table you wish to print.

  2. Issue the command Print>All.

To print a block:

  1. Activate the table containing the block you want to print.

  2. Use the commands Block>Start and Block>End to mark the block you wish to print.

  3. Issue the command Print>Block.

Edit the print settings and click the Print button.

Use the User Option, Prompt Display Style to switch between modern and classic styles.

Automatic Titles

If the name of the setting includes the character pattern "automatic titles" (case and position insensitive), the title row values are computed by NewViews.

Defines up to three titles to be printed at the top of the document.
The title lines (if entered) are printed at the top of the table, with Title 1 at the top, followed by Title 2, and finally Title 3. In general, Title 1 is printed using a larger font than Title 2, and Title 2 is uses a larger font than Title 3. (The fonts can be changed by modifying the fonts set in the template.) You can enter title text in any combination of the three Title lines.

Print Column Titles
Specifies whether to print the table's column titles.
yes
Prints the column title. For non-financial reports, such as sub-ledgers, transactions, employee lists, etc., the column titles should be printed to help the reader understand what the information is.
no
Omits the column title. When printing financial reports such as the Balance Sheet, it is often desirable to set this field to no, as the contents of the columns are obvious.

Print Zero-Balance Accounts
Used to control the printing of accounts.

Include accounts whose balance for the period is 0.00.

Filename
The output file name. The file type must be {".xls"}, {".xlt"} or {".pdf"}. Important see note on Output File Names options.

Printer
If Destination is printer then output is sent to the printer specified here. If this field is empty then output will be sent to the Windows default printer. Press <F3> to select from a list of available printers. NOTE: To clear the Printer field Press <F3> to select from the list of printers, and click on <Cancel>

Fit to # pages wide
Shrinks the output, if necessary, to fit on the number of pages wide specified here.

Scaling (10 - 400%)
Stretches the output (shrinks or expands). At 100, the page is printed actual size. Settings below 100 shrink the output, and settings above 100 expand the output.

Orientation
Used to control the orientation of printed pages.
portrait
Prints pages vertically.
landscape
Prints pages horizontally.

Template
The name of an Excel workbook that contains font and page layout information to be used for the table. (Optional)

Workbook/Sheet Control



If Excel is not running when a table print command is issued, Excel is started and a new workbook is created. A new sheet is then created in the new workbook.

If Excel is running when a table print command is issued, NewViews will synchronize with Excel and the prompt shown above will appear.

The New Workbook option will create a new, unnamed workbook, and then create a new, named sheet within it.

The New Sheet option will create a new, named sheet in the currently active Excel workbook. To append sheets to existing workbooks, switch to Excel, activate the target workbook, switch back to NewViews, issue the print command and select New Sheet.


Previewing the Result in Excel



If you are previewing the document in Excel (Destination is set to display), you can make any desired changes to the format such as adding comments, changing fonts, etc., before printing.

NewViews automatically set the print area, which is indicated on the screen by the dashed border. If you add cells/columns in Excel that you want included in the printout, you must expand the print area as follows:

  1. Issue the command View>Page Break>Preview

  2. Select the cells to be added to the print area

  3. Right click anywhere in the selected area and choose "Add to Print Area"

You can also use the View>Page Break>Preview command to control the pagination of the printout.

To print the document from Excel, use the File>Print command.
