The Purchase and Sales journals each have 15 user definable text fields that can be set with default values.
The Default Additional Info tab on the Journal can be used to set default values. Once the settings are in place, these values will be added automatically to invoices and orders at the time they are created.
Below, the Additional Info tab on the Transaction can be used to overwrite the default values.
There are print template fields for the 15 additional information value fields. Any or all of the 15 fields can be placed on the purchase order template and the values entered on each individual purchase order would print.
NOTE: For specific information on templates and pre-defined cells, please see Document Templates and Predefined Cell Names for Templates.
NewViews arranges objects in a hierarchy and many fields use this hierarchy to inherit default values from objects above in the hierarchy. This inheritance can help to simply setting up additional information in NewViews, (and setting up many other areas of NewViews).
For example, in examples in this section of the manual, we configure the additional information values on the root purchase journal. The purchase invoice journal and the purchase order journal are both below the root purchase journal and therefore they automatically inherit the values we configured. Any or all values can be overridden on the purchase invoice and order journals and also on the individual transactions.
Initially the 15 fields have no name (or title). Suppose you set the first field name to Attention. Then by default, the name for field 1 for additional information on all purchase journal transactions will be Attention The sub-journals of root purchase journal are the purchase invoice and order journals, so by setting the name (title) in one place, you have set it for all purchase transactions.
If we also set a Value for field 1 e.g.: (Salesperson's Name), then all transactions would have that as the default value.
The inheritance just described for field 1 applies similarly to all of the additional information fields on all purchase and sales journals.
