Printing Account Ledgers

Selecting Columns to be Printed

To control which fields are printed and in what order, click the <Select Columns> button at the top of the print settings window. The following column control window appears:

The left pane displays fields that are available for printing but are not currently selected for printing. The right pane lists the fields that will be printed and they are listed in column order.

To add new fields to the printout:

  1. Click on a field in the left pane.

  2. Click the <Add> button to move the field to the right pane.

  3. Use the up and down arrow buttons to re-position the field's column as desired.

When a field is first moved to the right pane it is appended to the list of fields and will be printed in the rightmost column.

To remove fields from the printout:

  1. Click on a field in the right pane.

  2. Click the <Remove> button to move the field back to the left pane.

Note that there is no way to control the column widths at this time.

Reducing paper consumption:

Suppose you have thousands of customers and you print their account ledgers each month. You are about to print them for June 2007 so you set the begin date to Jun 01, 2007 and the end date to Jun 30, 2007. There may be relatively few customers with postings dated in June 2007 so printing them all would waste paper. Here are some techniques that will reduce the amount of paper consumed:

  1. Set Include Empty Accounts to no.

You can save a lot of paper by skipping empty accounts. Note that here, empty doesn't mean an account has no postings; just that there are none for the current date range and other selection criteria.

  2. Set Page Separator to none.

This prints multiple accounts on the same page. When printing the account ledger for a specified period, a month in this case, most accounts will not fill a page.

  3. Use the Scaling field to reduce text size.

Setting the scale factor to a number less than 100 percent will reduce the text size and fit more lines on each page.
